This policy outlines how sponsorships are approved, what benefits sponsors can expect, how funds are managed, and the distinction between team and club-level sponsorship.

HOW WE RAISE FUNDS TOGETHER

Fundraising is a vital part of how we support our teams and invest back into our club. To ensure every initiative is coordinated, compliant, and financially accountable, all fundraising activity at Wanneroo Rugby Club follows a clear approval and management process.

This policy covers how to get a fundraising initiative approved, what activities are permitted, how funds are collected and managed, and how proceeds are disbursed.

HOW WE COACH AND MANAGE PLAYER BEHAVIOUR

We hold our coaches to a clear and consistent standard across every age group, every training session, and every game day.

This document outlines our coaching philosophy, how we communicate with players, and the structured framework we use to manage behaviour in a way that protects player confidence, supports our volunteer coaches, and keeps parents informed. It also sets out what we ask of parents and how concerns can be raised through the right channels if needed.

A FAIR, CONSISTENT AND SAFE PROCESS FOR RAISING AND RESOLVING CONCERNS.

Sets out how the Club handles complaints and disputes — from an informal chat through to a formal process with clear timeframes, fair hearings, and confidential handling. Works alongside the RugbyAU Code of Conduct to make sure every concern raised at Wanneroo is heard and resolved properly.

THE PLAYBOOK FOR HOW WE RUN THE CLUB

The Wanneroo Rugby Club Handbook is the official guide to how the club operates — governance, roles, finances, facilities, rugby programs, safety and the annual calendar, all in one place. It's the go-to reference for committee members, coaches, volunteers and club officials.

CLEAR AUTHORITY, SOUND CONTROLS, EVERY DOLLAR ACCOUNTED FOR

The Financial Delegation Policy sets out who can approve and authorise Club spending, from everyday budgeted expenses through to Board-level decisions. It covers bank signatories, card and petty cash controls, reimbursements, and monthly reconciliation — keeping Club finances transparent and properly governed.

THE RULES WE'RE BUILT ON

The Wanneroo Rugby Club Constitution is our founding governance document, lodged under the Associations Incorporation Act 2015 (WA). It sets out the Club's objects, membership categories, Board structure and elections, meeting procedures, and financial controls the formal rules underpinning everything else the Club does.

RESPECTFUL, SAFE AND RESPONSIBLE ONLINE AND OFF

The Social Media Policy sets out how players, coaches, officials, volunteers and parents should use social media in connection with the Club — covering official Club channels, respectful conduct, privacy and images, and specific safeguards for interacting with junior players online. It operates within the RugbyAU Code of Conduct, Social Media Policy, and Child and Young Person Safeguarding Policy.

CLEAR, CONSISTENT AND SAFE ACROSS EVERY CHANNEL

The Communications Policy sets out how the Club communicates through email, the website, team messaging apps, and match-day notices — covering tone and standards, media enquiries, privacy of member data, and safe communication with junior players and families. It operates within the RugbyAU Code of Conduct, Child and Young Person Safeguarding Policy, and Privacy Policy.

LOOKING AFTER YOUR INFORMATION, CAREFULLY

The Privacy & Data Management Policy explains what personal information the Club collects — through Rugby Xplorer, forms and correspondence — how it's used, stored and protected, and who can access it. It sets out extra care for junior players' information and gives members a clear way to access, correct, or opt out of communications. It operates within the Privacy Act 1988 (Cth), the RugbyAU Privacy Policy, and the RugbyAU Child and Young Person Safeguarding Policy.

HOW WE TREAT EACH OTHER, ON AND OFF THE FIELD

The Code of Conduct sets out the standards of behaviour expected of players, coaches, officials, volunteers, parents and spectators at Wanneroo Rugby Club — covering fair play, respect, player safety, and appropriate conduct both at the Club and online. It operates within the RugbyAU Code of Conduct (June 2025) and is backed by the Club's Dispute Resolution & Grievance Policy.

A CLUB WHERE EVERYONE BELONGS

The Diversity & Inclusion Policy sets out the Club's commitment to being welcoming and inclusive for everyone — covering fair treatment for all, and support for Women & Girls, All Abilities, First Nations and Pasifika communities, LGBTQ+ people, and cultural and religious diversity. It operates within the RugbyAU Code of Conduct and Rugby Australia's Inclusion Strategy 2025–2029.

SAFE, LEGAL AND RESPONSIBLE, EVERY DAY

The Responsible Service of Alcohol Policy sets out how the Club serves alcohol safely and legally at the clubhouse bar covering licensing, RSA certification, service standards, and individual responsibility. It operates within the Liquor Control Act 1988 (WA) and the RugbyAU Alcohol Code of Conduct.

GROWING OUR OWN LEADERS, YEAR AFTER YEAR

The Succession Planning Policy sets out how the Club identifies, develops and prepares future committee members — building a volunteer pipeline, supporting key roles with deputies, and running an annual succession review well ahead of each AGM. It ensures no departure ever leaves a governance gap.
